Note: Last sentence is CRITICAL!

1. Find the patient record in eCW.

2. Click the link that says, Click here to go to CHADIS on the right sidebar of the progress note

3. Click on Home (top left)

4. Click on Office Admin

5. Click on Manage Users

6. Manage all users from one page. Select Role, Office Administrator, Waiting Room, FTE Status.

a) Note: If an option is not on the page (ie. specific to one user), such as disable, change password, etc., then click on the user’s name and edit the information. Click Save when done editing.

• Role: User’s primary role

• Office Admin: CHADIS administrators in your office

• Waiting Room: Select this feature if user will help assist those taking questionnaires in the office; on a tablet, pulling up QR code for respondent to take on own device

• Full/Part Time: FTE status for PROVIDERS only

     o Full Time: 21 + hours/week = 1.0

     o Part Time: 20 hours or less/week = .5

If you click on a user’s name, you can make edits for that specific user:

7. Provider FTE is listed; always keep current

8. To Add User, click Add User at top or bottom of screen

Or, if you’re in a specific user’s profile, you’ll get this screen:

9. When done adding or editing, click Save All or Save All and Update Invoice

     a) Save & Update Invoice- Allows the designated admin for the practice to simultaneously save any clinical user updates made to their staff as well as send an internal trigger to invoicing notifying CHADIS accounting that a change affecting their invoice has been established for an updated invoice to be released.

The top of the screen will show the updates. This is what you will be invoiced on:

     b) Save- Allows the designated admin for the practice to make standard changes to staff where their invoice will not be affected (i.e. Nurse, Staff, Waiting Room Roles).

NOTE: AFTER you add users in CHADIS, submit a ticket to eCW stating “map CHADIS username _____ to eCW username _____ so they will have eCW SSO access to CHADIS”. Once mapped by eCW, the user will have access to the CHADIS button in eCW.
