Q: What are auto-assignments?
A: Auto-assignments are the unique set of questionnaires listed under each CHADIS visit type. If the patient meets the age criteria for the questionnaire, it will be automatically assigned.
Q: Who selects the questionnaires that will be assigned?
A: The practice determines the questionnaires that the practice wants to use for each type of visit. Then, the CHADIS administrator in your office will build their auto-assignments directly into CHADIS. Auto-assignments are the visit types and associated questionnaires that will be programmed to be assigned to every patient every time that mapped visit type is booked.
Q: Can we make changes to an existing questionnaire?
A: Any changes to a questionnaire would be a custom request. You can view the process and pricing under the Help Center in CHADIS.
Q: Will questionnaires trigger other questionnaires based on the interpretation? For instance, if the PHQ2 is positive will it prompt to the PHQ9 automatically?
A: CHADIS can link/trigger a questionnaire upon specific written request from the practice.
Q: How do I add new visit types to CHADIS?
A: CHADIS can add any visit type; however, each eCW visit type can be mapped to ONLY ONE CHADIS visit type, so you may need to create new eCW visit types.
Q: What are the requirements for visit type mappings?
A: Each eCW visit type can be mapped to ONLY ONE CHADIS visit type; there is a 1:1 correlation. Also, the eCW visit type cannot be too general because 1) everyone booked in that visit type will receive the same set of questionnaires (CHADIS looks at visit type, not the reason) and 2) it can only map to one CHADIS visit type because each visit type has a unique set of questionnaires.
Q: How is the patient’s age calculated with the integration?
A: The patient’s age is calculated based on the day eCW notifies CHADIS of the upcoming appointment. eCW checks the schedule using a 2-week lookout period, so on a given day, if an appointment is scheduled within the next 2 weeks, eCW will notify CHADIS at that time.
Q: What is the age cut-off and is it required?
A: The age cut-off is the age at which you want teens to start taking their own questionnaires; it will allow the integration to assign questionnaires for the patient to access. Prior to building your auto-assignments, the age cut-off must be determined; it applies to all questionnaires across all visit types.
Q: Why do I see yellow bars under some questionnaires in my auto-assignments?
A: Yellow bars indicate that in order for that specific questionnaire to be processed, it must be duplicated based on your age cut-off because it spans across your age cut-off.
Q: Does each user need their own credentials?
A: Yes, each user must have their own credentials. When you integrate, users will have access to CHADIS via eCW SSO. Each user will have their own credentials to log in; this is for mapping, security and auditing purposes. There will be buttons in eCW to access CHADIS.
Q: Why do I need to identify a default provider and a default staff person?
A: The default provider and default staff person are required fields in eCW. There must be one and only one person in each role. The results from manually assigned/unsolicited questionnaires feed back into eCW as addressed telephone encounters; the defaults are identified to ‘work’ these so practice can filter for the unsolicited results for the patient.
Q: Can we use generic defaults to work manually assigned questionnaires, the results of which come back into the patient’s chart as addressed telephone encounters?
A: A generic Default Provider and Default Staff Person may be created to work the telephone encounters. However, you will need to check with eCW on any permission/access settings or costs for results assigned to these new default provider/staff. If using a generic default, that user must also be set up in CHADIS; all users must be mapped between eCW and CHADIS.
Q: Is CHADIS compatible with the Healow app or kiosk?
A: No, CHADIS is not compatible with the Healow app or kiosk.
Q: How does billing work with the integration?
A: Questionnaires are billed for the same as other procedures by adding the CPT code to the billing section of the Progress Note.
Q: Can a single provider use CHADIS or does the whole practice have to use it?
A: The integration cannot be limited to a single provider. However, it can be limited to a subset of providers, but only the patients of the providers using the integration will receive CHADIS questionnaires, which will cause there to be multiple workflows and visit types.
Q: What version of eCW is required?
A: As of 2022, practices must have or upgrade to version 11.52.240 or higher in order for the integration to work.
Q: Is eCW EHR a hosted or cloud solution?
A: eCW EHR offers both hosted and cloud-based options depending upon client preference.
