Q: How does the CHADIS/OP Integration work?
A: With the CHADIS/OP integration, the suite of CHADIS questionnaires is added to the OP surveys database. Practices select their preferred surveys and add them as standing orders to the OP templates. As the templates are used for appointments, OP adds the questionnaire orders as tasks and sends the orders to CHADIS. Parents and patients may complete questionnaires via the portal before their appointments. Results are automatically sent to the patient’s chart in Office Practicum (OP).
Q: Is the portal required for the integration?
A: Yes, the OP portal is required for the CHADIS/OP integration
Q: How do I schedule a patient appointment now that we’re integrated?
A: Patient appointments are scheduled the same as usual.
Q: How are CHADIS questionnaires assigned to patients?
A: OP will automatically add tasks for the appropriate questionnaires when appointment reminders are sent to the patient.
Q: How do I manually order CHADIS questionnaires?
A: Manual orders must be created in OP. To create the order, go to tasks from the patient chart and add an order for the questionnaire. Be sure to select the patient department and click “Create Task” to complete the process.
Q: When will patients receive their questionnaires?
A: OP will automatically add tasks for the appropriate questionnaires when appointment reminders are sent to the parent or patient, which is usually within a few days of the visit.
Q: How do patients find out about the questionnaires? A: If the patient is registered for the patient portal, the portal will send a notification about the questionnaires:
If the parent or patient does not have a portal account, a notice cannot be sent via the portal. However, it will be possible for the questionnaires to be completed in the office.
Q: How do patients access CHADIS to complete the questionnaires?
A: Patients should access CHADIS from the patient portal: If the patient cannot access CHADIS from the portal, staff may use the CHADIS waiting room to grant access.
Q: How do clinical staff access CHADIS? A: OP offers a single sign-on button to CHADIS! To jump from OP to CHADIS, open the patient’s chart and the SURVEYS tab. Press the CHADIS button to open the patient’s CHADIS chart in another window.
Q: Where are the results of the questionnaires returned?
A: As soon as questionnaires have been completed, CHADIS scores them and returns the results to OP. Questionnaires can be reviewed in full detail in the surveys tab on the patient’s chart. The details include scores and questions and answers. A pdf of the results is also sent to the documents section - these results should be marked reviewed.
Q: What if parents/patients don’t complete their questionnaires before a visit?
A: Questionnaires can be completed in the waiting room via login to the patient portal or the CHADIS Waiting Room feature.
Q: How quickly will results be returned if the questionnaire is completed in the waiting room? A: CHADIS processes questionnaires very quickly and will return the results instantly to OP. The results appear in the patient chart within 3 minutes of the questionnaire being submitted so the provider can review the results during the appointment.
Q: How do I access CHADIS at the time of service to use some waiting room features or decision support
A: To access CHADIS, simply open the patient’s chart in OP and press the CHADIS button from the survey tab.
Q: How are questionnaires assigned to teachers and how do they complete them?
A: Staff or parents can invite a teacher to complete a questionnaire by logging in to CHADIS, going to the patient’s account, selecting the “Invite” hyperlink, and then filling in the teacher’s information, including the email address. The teacher will be notified via email that they have a questionnaire to complete, can quickly create a CHADIS account, and complete the questionnaires assigned to them.
Q: How are questionnaires assigned to teens and how do they complete them?
A: Staff or parents can invite a teen to complete a questionnaire by logging in to CHADIS, going to the patient’s account, and adding the teen as a respondent. Once these steps have been completed the questionnaires will be sent to the teen via email. The teen will need to click on the link in the email, quickly create a CHADIS account, and complete the questionnaires assigned to them.
Q: Once we’re integrated, can parents still log in to CHADIS directly to complete questionnaires as usual?
A: Yes, parents with existing CHADIS accounts can complete questionnaires by logging in at www.chadis.com as usual.
Q: What version of OP do we need to access CHADIS?
A: All active versions of OP should be compatible with CHADIS.
Q: How does billing work with the integration?
A: Billing for most CHADIS questionnaires will be seamless once the default CPT code is added to the Survey Forms Explorer. At the time of the visit, mark the results on the survey tab ‘Complete” and the charge will be listed on the superbill.
Q: Which questionnaires will be available via the integration?
A: There are hundreds of available questionnaires! You may review the options under the Survey Forms Administrator in OP.
Q: Once we’re integrated, how do we enroll patients in CHADIS?
A: Once CHADIS is integrated with OP, patients will be enrolled via OP order to CHADIS.
Q: Is CHADIS connected to the portal?
A: Yes, CHADIS is integrated with the portal which means patients have one-click access to CHADIS when questionnaires are available.
Q: What if a patient cancels an appointment?
A: If a patient cancels an appointment and the questionnaires have already been completed, the results will remain in the canceled appointment in the OP patient chart. If the questionnaires have not already been completed, they will be canceled, and a new set of questionnaires will be sent to the patient when a new appointment is scheduled.
